Manage versions in SAP IBP Excel Add in

Often for planning data in IBP the planners need to delete the values of key figure to plan for different requirements. For this purpose, SAP Integrated Business Planning provides an easy method to the process which is helpful for clearing the data for a certain time period as we define. To execute this process there is simpler method as discussed in this content.

There are two methods:

  • Add in Excel
  • Web UI [Fiori]-Through Application Jobs


    • In 1st step we create a planning view, go to > New View > Without template in current sheet > Set time profile > Set attribute > Select key figure > Select planning unit.


    1. In below screen WKPRODLOCCUST is planning level and Actuals Quantity key figure which is Non-Editable.



    2. Now, if we try to delete the key figure values we can’t delete it as shown below



    3. We have to delete the key figure values of product IBP-100 for TW07 M2 2022. Then Go to versions and click manage



    4. Here, select all the parameters as shown below, we can also add filter such as product, location id and also time period from which we need to delete the values.



    5. Select base version and key figure as selected below screen.



    6. As we run delete version operator check the status in status option as shown in screen below.



    7. After finishing the operator, we will see the results shown below the values for the defined time period is deleted.


    2nd method:

    1. Select Application Jobs App in Web UI



    2. Go to create job option you will find the below screen and select operator name.



    3. Select Job Template of Delete Version Operator as shown in below screen .




    Select the following parameters:

  • Operation: Delete Version
  • Planning Area
  • From Version
  • Filters
  • From Period
  • To Period
  • Key Figures




    • 4. We can also schedule this job in recurrence pattern option such as immediately, daily, weekly, monthly for the selected key figures.
    After setting all parameters we can view the status of the job in Application Jobs.



    5. Now see the results in IBP Excel Add in planning view, by selecting the key figures of actuals quantity.

    6. Now see the results in IBP Excel Add in planning view, by selecting the key figures of actuals quantity.


    So, the key figures values of Actuals Quantity are deleted for the given time period as highlighted in screen 12.
    By executing few steps, we can clear the data for the defined time period.
